Job Description
Commercial Office Real Estate Receptionist / Administrative Assistant to join our established commercial real estate team located in a midrise office building in the Westshore area of Tampa.
Responsibilities:
• General real estate reception and office administration activities to support our Operations and Maintenance Team with an emphasis on scheduling, tenant relations, purchasing and assistance with operations and maintenance staff coordination, subcontractor bidding, vendor relations, and inspections - full or 3/4 time.
• Work with our Operations and Maintenance team to plan and coordinate the management functions of the assigned Properties in Tampa necessary to enhance the physical appearance and functional capability of the properties in an effort to maximize Tenant satisfaction and financial performance.
Administration:
• Engage with tenants, subcontractors, and service providers.
• Create and maintain schedules and a preferred vendor list.
• Assist with vendor vetting and Tenant vendor approval needs.
• Coordinate inspections, contractor interaction, bidding, and improvement assessment.
• Help to coordinate and schedule tenant maintenance tickets and work orders.
• Verify completion of tasks by work orders, scopes, and bids.
• Manage questions, concerns, and emergencies services.
• Coordinate, and implement Disaster and Recovery Protocols for all properties.
• Coordinate after-hours emergency services.
• Assist with leasing activities and broker visit coordination.
• Management Office Reception.
Accounting
• Assist with invoicing for repairs and maintenance.
• Review and approve vendor invoices for work completion and pricing accuracy.
• Secure contractor bids and maintenance contracts utilizing a competitive 3-quote system.
Qualifications:
• Previous experience in real estate property management, or other related fields.
• Proficient in Word, Excel, and Outlook.
• General understanding of real estate property management and maintenance processes.
• Excellent written and verbal communication skills.
• Highly Organized.
• Honest, self-starter, and integrity driven.
Hours / Schedule:
• Flexible Full Tie or ¾ time
Education:
• College Degree preferred but not mandatory in exchange for experience.
