Job Description

We are searching for a Bookkeeper & Administrative Assistant for a Catholic organization.

Position Summary

This role combines the responsibilities of a Bookkeeper and Administrative Assistant. The Bookkeeper is responsible for managing the organization’s financial activities, including maintaining accurate records, preparing reports, and ensuring compliance with accounting standards. The Office Manager supports daily administrative operations, helping to ensure a welcoming and efficient office environment. This position may be part-time or full-time depending on the candidate’s experience and ability to support both functions.

Essential Responsibilities

Financial Management

  • Maintain accurate and up-to-date financial records.
  • Record all financial transactions, including donations and expenses.
  • Assist in preparing the annual budget and monitoring performance.
  • Generate regular financial reports for leadership and stakeholders.
  • Ensure compliance with accounting principles and organization financial guidelines.
  • Support annual financial audits.
  • Provide timely donation reports to donors and leadership.
  • Process payroll and manage payroll-related tax filings.
  • Monitor and reconcile parish expenses and resolve discrepancies.
  • Collaborate with leadership to provide financial insights and recommendations.

Administrative Support

  • Greet and assist visitors and callers in a professional and friendly manner.
  • Maintain office supplies and equipment.
  • Organize and file documents, both physical and digital.
  • Assist with scheduling, correspondence, and general office tasks.
  • Support parish events and communications as needed.
  • Maintain confidentiality and professionalism in all interactions.

Qualifications

  • High school diploma or equivalent required.
  • Minimum of two years of experience in a related field.
  • Bachelor’s degree in Accounting, Finance, or related field is a plus.
  • Proficiency in QuickBooks and Microsoft Office Suite.
  • Strong understanding of accounting principles and financial reporting.
  • Excellent communication and interpersonal skills.
  • Familiarity with Catholic teachings and not-for-profit operations is preferred.
  • Ability to work independently and as part of a team.
